Real estate CRM vs Excel: when it is time to switch

Excel has been the co-worker of thousands of real estate for decades. It is cheap, known and flexible. But in 2026, managing a real estate with Excel is like trying to compete in Formula 1 with a street car. It works, but you're at a disadvantage from the start.

When Excel is enough (and when not)

Excel makes sense in two situations:

  • You have less than 5 active properties
  • You're autonomous and you work alone, without equipment.

From there, problems begin to multiply. Each new property adds complexity. Each new contact requires follow-up. Each new portal requires publication. Excel's not designed for that.

Excel's limits for a real estate

No automation

In Excel, everything is manual: you publish on each portal one by one, you send tracking emails one by one, you report owners one by one. A CRM automates all that and releases you hours every week.

No reminders

When did you have to call that buyer? When was that rent review due? There are no automatic alerts in Excel. You have to depend on your memory or a separate calendar. The CRM is warning you before something important happens.

No website of its own

Excel doesn't give you an online presence. You can't pick up owners or show your wallet to buyers. You will depend 100% of the portals, paying commissions for each lead. A CRM with a web included gives you independence.

The chaos of shared files

When you work as a team, Excel becomes a chaos: different versions, overwritten changes, outdated information. A CRM centralizes everything in real time: what your partner sees is exactly what you see.

The real cost of staying in Excel

Excel is "free" if you already have Office. But the real cost is not in the license, it's in the time you lose. If you spend 5 hours a week on tasks a CRM would do automatically, you're losing 20 hours a month. At 30 €/ hour, that's 600 €per month of hidden cost.

And that without counting the lost opportunities: leads that you don't respond in time, owners that get tired of waiting, properties that remain unpublished because you don't have time.

When is the time to change

These signs indicate that Excel is no longer giving you:

  • Managed more than 5-10 properties
  • You have a team of 2 or more people
  • You lose more than 3 hours a week in administrative tasks
  • You've lost at least one lead for responding late.
  • Owners complain about lack of information

Transition: from Excel to CRM without trauma

Changing doesn't have to be painful. Most CRM allows you to import data from CSV, so you can migrate your portfolio in minutes. Start with the active properties, then add the historical. In a week you'll have it all working in the CRM.
